In addition to the above, you must also be familiar with the following:

 

oFunction Windows

A function window is a window that is opened when you select a menu function such as the Customer Maintenance, AP Invoice Transaction or Print Invoice. Each function that you access appears as separate tabs which you can dock or undock, and move around the screen or to another screen if using multiple computer monitors.

 

oWindow Pages

Functions containing information that does not fit into one window are divided into pages. For example, the AP Invoice Transaction window has six (4) pages: Information, Line Items, Open Debit Details, GL Distribution, Activity, and Notepad. The pages are typically shown in a line on the left-most side of the window. You can click each page to display it and work with its contents.

 

oNested Tabs

Nested tabs are seen in functions that has grids and contains detail information about a line item highlighted in the grid. For example, in the AP Invoice Transaction function's Line Items page, you can view the nested tab  by clicking the Toggle (hmtoggle_plus0) button in the Line Item's grid. Most nested tabs are for reference use only while there are some where users can enter or amend values.

 

oSubsidiary Windows

A subsidiary window is a window that appears while you are working with a function window and contains details that cannot fit on a function window, tab or report previews.

 

The subsidiary windows are composed of the following:

 

Search windows and data entry windows that generally display related data for your reference only or for you to select or update such as customer search and selection lists

Message boxes that provide informative messages or warnings

Dialog boxes that provide queries that can be answered by supplying data or clicking the Yes or No button.

 

oWindow Interfaces

Most AccountMate Enterprise windows have descriptive headings, a Tab List button and the usual [X] icon to close the window. Once multiple function windows are open at the same time, you can click the Tab List button to display in a list all the function windows that are currently open. You can click the function name to access the window. These windows come with fields and grids where you can enter and display data, and areas where you can type and review narrative remarks. Most AccountMate Enterprise windows contain buttons that can be clicked to enter commands quickly. Refer to the Understanding AccountMate Symbols section for more details about these buttons. Some AccountMate windows contain scroll bars that allow you to display off-the-window areas of records, windows, and reports.

 

oToolbars

AccountMate Transactions, Maintenance, and Reports windows come with predefined toolbars that allow you to quickly select preset options.

 

Transactions Toolbar

The Transactions toolbar allows you to save entries, void or cancel transactions, and copy from existing transactions and attach a file to a particular transaction record. It also allows you to print, preview, email or export the corresponding report of the transaction.

 

The following buttons can be found in the Transactions toolbar:

 

Save

Click this button to save all entries or changes made to any tabs in the function window. Once the transaction is saved, the system will automatically clear the current function window of information, making it ready for use.

 

Cancel

Click this button to cancel the current transaction record from the function window. If you made changes in the current window, the system will ask for confirmation whether or not you want to save the transaction before it clears the function window of information.

 

Copy

Click this button to copy information from an existing record into the new transaction you are creating.

 

Void

Click this button to void the transaction currently displayed in the selected window. Note however, that transactions are validated based on certain conditions for successful voiding, including user's  access rights to void records.

 

Close/[X]

Click this button to close the Transactions window and return to the main menu window. If you made changes in the current window, you will receive a message prompting you to save your changes before you close the window.

 

Preview

Click this button if you want to display on the screen a preview of the corresponding report of the transaction. This button is enabled only during amend transaction.

 

Print

Click this button if you want to print the corresponding report of the transaction. This button is enabled only during amend transaction.

 

Email

Click this button if you want to send the corresponding report of the transaction as attachment to an email. You can send the attachment either in Excel, PDF or Word format. This button is enabled only during amend transaction.

 

Export

Click this button if you want to export the corresponding report of the transaction to various supported file formats. This button is enabled only during amend transaction.

 

Attachment paperclip

Click this button to display the View/Edit Attachment for xxx # [yyy] window where you can attach files to the transaction record. It also allows you to view or delete files that were previously attached to the transaction record.

 

Navigation Buttons

The Navigation buttons comprises the following: First (first record), Prev (previous record), Next (next record), and Last (last record). Click any of these buttons to access or browse the records in the current file.

 

Maintenance Toolbar

The Maintenance toolbar allows you to save, delete, copy and close maintenance records, as well as navigate through the records in a selected file. In some maintenance functions, it also allows you to attach a file to a particular maintenance record.

 

The following buttons and field can be found in the Maintenance toolbar:

 

Save

Click this button to update the record for all changes and entries made in any tabs of the Maintenance function window. Once the record had been updated, the Maintenance window is kept open, allowing you to create other entries.

 

Delete

Click this button to delete the entire record. Once you click this icon, the system will display a dialog box asking you to confirm your action. When you confirm that you want the record deleted, the system will automatically delete it. You can delete a record only if such record has no transactions and provided you have access rights to delete records.

 

Copy

Click this button to copy data from an existing record to the current record.

 

Cancel

Click this button to cancel the current record from the window. If data or any changes is entered, the system will ask for confirmation whether or not you want to save the transaction before it clears the function window of information, making it ready for the next entry.

 

Close/[X]

Click this button to close the Maintenance window and exit the function.

 

Attachment paperclip

Click this button to display the [xxx] Attachment window where you can attach files to the maintenance record. It also allows you to view or delete files that were previously attached to the maintenance record. Beside the Attachment button is a drop-down that when clicked, will display a list of related transaction functions. When you click any of the transaction function in the list, AccountMate will display the [xxx] Attachment window which lists down the files attached to the corresponding transaction record.

 

Navigation Buttons

The Navigation buttons comprises the following: First (first record), Prev (previous record), Next (next record), and Last (last record). Click any of these buttons to access or browse the records in the current file.

 

oHot Key(s)

A hot key is a key or a combination of keys on a computer keyboard that, when pressed at one time, performs a task (such as starting an application) more quickly than by using a mouse or other input device. Hot keys are sometimes called shortcut keys. The system provides you with several hot keys to facilitate faster processing of commands.
