Understanding AccountMate Symbols

This section explains the purpose and use of each symbol that you encounter while using AccountMate Enterprise. These symbols appear as underlined labels or buttons displayed next to the fields to which they apply.  

 

 

An AccountMate Enterprise symbol has any of the following features:

 

It allows you to look up and select a record such as an inventory item number or the number of a customer for whom you want to create an invoice.

It allows you to review, update, and/or add records. For example, you can review and update existing customer records or you can add a new customer record while you are creating an invoice.

It allows you to use either the key search or the full text search when searching for a record.

It allows you to automatically dial a phone number that appears on the record you are accessing.

It allows you to automatically access a website on the internet.

It allows you to send e-mails from within the system.

It allows you to archive records instead of deleting it.

It allows you to toggle view details of master records or transactions.

It allows you to view and select options in a certain field.

It allows you to browse files in your directory.

It allows you to view the calendar or look up the fiscal period table.

 

 

The following symbols are available in AccountMate:

 

oDrill-down field

A drill down field is any field that has an underlined label. Click the underlined field label (e.g. Customer #, Inventory #, Vendor #, GL Account ID, etc.) to drill down to the related Maintenance function window (e.g. Customer Maintenance, Inventory Maintenance, Vendor Maintenance, Chart of Accounts Maintenance, etc.) in order to create, update or delete a record.

If you drill down on an empty field, the system will display the related Maintenance function window, where you can add a new record or update existing record in that file.

If you drill down on a field that contains a value, the system will look for the corresponding maintenance record of the value you entered. If the system finds the record, it will display the details of the record on the Maintenance function window so that you can review or amend, if necessary. If it cannot find an existing record, the Maintenance function window will display and provide you the opportunity to add the record.

If you drill down on a field related to a specific transaction, such as Invoice #, Sales Order # or Purchase Order #, the system will display the actual document on report preview mode where you have the options to either print or export the report.

 

 

oLookup Button

When a Lookup button appears next to a field, you can view and often add or select a record applicable to that field.

If you want to search a record by its number (e.g. customer number) and see the entire list of records, leave the corresponding field blank. When you left-mouse click the Lookup button next to the field, the system will display the Key Search window. While clicking the right-mouse button, it will display the Full Text Search window. Both search windows will show all of the records applicable to that field, in alphabetical order.

If you want a faster search of a record by its number (e.g. customer number), enter one or more characters of the applicable number in the field; then, click the Lookup button. The system will narrow the search to records that match the values you entered, speeding up the search.

 

 

oDetail Analysis Button

Click this button to display the transactions making up the amount or quantity shown in the related field.

 

oList Box Button/Drop-down Button

Click this button to display a list of choices provided by the system, and select the desired option. This feature is also called a "drop-down list".

 

oSpinner Button

Click the up or down arrow in a Spinner button to increase or decrease the value in the related field by one digit. For example, if the field allows you to choose a number from 1 to 9 and the value is currently 5, you can click the up arrow repeatedly to increase the number to 6, 7, 8, and 9, or click the down arrow repeatedly to decrease the value to 4, 3, 2, 1 and 0.

 

oEllipsis Button

Click this button to display a typical directory search window or a specialized search window in transaction functions.

 

oOverwrite Button

Click this button to display an Overwrite window where you can make changes that affect the values in the related field in the current record. Changes you make using the Overwrite window affect only the current record (e.g. freight amount in the sales order you are creating) and not the underlying record (e.g. default freight amounts in the freight code record).

 

oFiscal Period Table Lookup Button

Click this button to display the Posting Period Restrictions page. This button appears next to certain Date fields such as the Invoice Date in the AR Invoice Transaction function. This button is applicable if you have activated the General Ledger module. It allows you to determine the fiscal period, which relates to the date you intend to enter in the Date field, and shows the period(s) and module(s) that are restricted for posting.

 

oCalendar Lookup Button

Click this button to display the Calendar window. This button appears next to certain Date fields such as the Order Date in the AR Invoice Transaction function. It allows you to view the current month of the current year calendar and select a date, which relates to the date you intend to enter in the Date field.

 

oToggle Button (Show, Hide, Expand)

Click this button to either show or hide detail information in a grid, transaction summary details or options in master records,

 

oEmail Button

Click this button to send an e-mail to the address entered in the e-mail field.

 

oModem Button

Click this button to initiate modem dialing of the phone number entered in the field instead of manually dialing it. You must have a modem hooked up and activated in order to use this feature.

 

oInternet Access Button

Click this button to access the webpage on the internet that is entered in the field. You must have internet connection on the workstation from where you click this button.
