AccountMate Enterprise's flexibility allows you to define the basic structure of your chart of accounts by setting your own GL account segment definition. For example, you can define a chart of accounts consisting of an account number, division, and department GL account segments (e.g. 12345-COH1-00). Even if you do not plan to use the General Ledger module, the system still requires you to define the GL account segments because it must always prepare the system for the General Ledger's future use.
When you define the GL account segments, consider the following points:
•You must define at least one segment and that is the major segment.
•You can define only one major account segment; the rest of the segments are called minor segments.
•Enterprise supports unlimited number of segments (as best suit your company's requirements)
To create the company's GL account segment definition, perform the following steps:
1.Click the Append row to end button to activate a line beneath the current line in the grid. Alternatively, you may click the Insert row before current button to add a new line above the current line in the grid.

2.Enter the appropriate values in the following columns:
oDescription (ID)
Enter in this field a description of the segment. |
oShort Description
Enter in this field a brief description of the segment. |
oLength
Enter in this field the number of character(s) required for this segment. Alternatively, you may click the Spinner button to select a value. |
oMask
Click the List box button to select the type of characters that will be allowed in this segment. You can either set it to accept only numeric values, or both numeric and alphabetical characters. The mask that signifies numeric values is shown as "9" (e.g. 999); while the mask for alphanumeric values is shown as "!" (e.g. !!!) |
oMajor
Select this option if the segment is a major account; otherwise, leave this option unmarked. |
oFund
If you have marked the Activate Fund Accounting checkbox, you must select a fund segment that is different from the major segment. You can select only one segment as your fund segment. |
3.To delete a GL segment definition line in the grid, click on the line entry that you want to delete; then, click the Delete selected rows button in the grid toolbar. Click Ok to confirm deletion; otherwise, click No.
