Receive Warehouse Item Transfer

Inventory items units that were transferred from one warehouse to another using the Warehouse Item Transfer function but are not yet recorded as "received" in the target warehouse are considered as "in-transit". AccountMate Enterprise gives you an option to receive these in-transit inventory items either completely or partially using the Receive Warehouse Item Transfer function.  You can post inventory items that were lost in-transit by recording the transfer as completely received in the Receive Warehouse Item Transfer function.

Note: AccountMate allows you to record actual receipts of transferred inventory items to its destination provided you did not specify a target bin when you recorded the transfer using the Warehouse Item Transfer function.

 

 

To record the actual receipt of transferred inventory item units at their destination warehouse and bin, perform the following:

 

1.Access the Receive Warehouse Item Transfer function from the Item Movement group under the Transactions menu in the Inventory Control module.

Note: Various drillable fields are available in this function screen. When you click any drillable fields in this function, the system automatically displays the corresponding Maintenance function screen.

 

 

2.Provide values in the following fields:

 

oWarehouse

Enter in this field the destination warehouse of the inventory items that are in-transit.

 

oTransfer #

Enter in this field the transfer transaction number assigned to the transferred inventory items that you want to record as received. The details of all in-transit inventory items assigned under the specified transfer number will be automatically displayed in the Line Items grid. Alternatively, you may leave this field blank to display all the transferred inventory items to be recorded as received in the specified warehouse.

 

oReceive Date

Enter in this field the date the inventory items are received at their new bins.  The default date is the current system date. Note that the value you enter in this field must be the same or subsequent to the warehouse transfer date; otherwise, you cannot proceed with the transaction.

 

3.In the Default Receiving Bin area, select the bin assigned to the destination warehouse where the transferred inventory items will be stored. The bin selected in this area will be the default bin in the Bin column of the Line Items grid:

 

oItem's Master Bin

Select this option if you want the transferred inventory item units to be stored in the specified warehouse's master bin.

 

oSpecific Bin

Select this option to specify the bin number where the transferred inventory item units will be stored. Manually enter the bin number in this field. Alternatively, click the List box button to display the available bins in the warehouse that carries the transferred item; then, click the bin to select.

Note: Default receiving bins must be defined as a receiving bin of the warehouse specified in the Warehouse field; otherwise, you will receive a warning message that the bin you have entered does not exist or the bin is not a receiving bin.

 

 

4.The Line Items grid displays all the in-transit items that not yet completely received in the target warehouse. The actual receipt of in-transit transferred inventory items are entered in this grid. Perform any of the following desired alternatives to receive warehouse item transfers:

 

Alternative 1

To receive all in-transit inventory items displayed in the grid, click the Receive All button.  Clicking this button will automatically display all the in-transit quantities under the In-transit Quantity column to the items' respective Receive Quantity column.  The checkboxes under the Closed column are automatically marked to indicate completion of the transfer transaction.

 

 

Alternative 2

To record actual receipt of individual in-transit inventory item, highlight the in-transit inventory item in the grid. Enter in the item's Receive Quantity field the actual receipt quantity. Be sure that the actual receipt quantity does not exceed the quantity specified in the In-transit Quantity field; otherwise, a message will display informing you that the received quantity is more than the un-received quantity.

 

 

Alternative 3

If the received quantity is a serialized, lot-controlled or kit item, you need to select the  serial, lot or kit number that is actually received in the warehouse. To do this double-click the item's applicable reference code under the Special… column. The Special nested tab will then be displayed where you can select the serialized, lot controlled or kit item that is actually received.  

 

5.To amend and clear all the quantities in the Receive Quantity column, click the Receive None button; otherwise, you may manually amend the quantity in each line item's Receive Quantity column in order to specify non-receipt of these inventory items.

 

6.To specify the bin other than the default receiving bin where these inventory items will be stored, enter in the line item's Bin column, the actual warehouse bin. Alternatively, you may click the List box button to display the all the active and receiving bins assigned to the item; then, click the bin to select. The default bin is the bin specified in the Default Receiving Bin area.

 

7.To specify completion of the receipt for each transferred inventory items, mark the item's respective checkbox under the Closed column. Note that if the value in the In-transit Quantity column is greater than the value in the Receive Quantity column and you mark the corresponding Closed checkbox, the remaining unreceived inventory item quantities will be considered as lost during transit. An entry will be automatically created on the remaining unreceived quantities as lost inventory items recorded as part of the GL Account ID specified in the Lost Transferred Inventory account in the GL Account Selection Maintenance function.

Leave the Closed checkbox unmark for partially received inventory items, unless you have verified that the remaining unreceived quantities of the inventory items are lost or will not be received in the warehouse.  The system will write off the remaining non-received quantities and will be unavailable for future inventory transactions.

 

 

8.To save this transaction, click the Save button from the Transactions toolbar to record the receipt of the in-transit inventory item units; otherwise, click the Clear button to clear the information you had entered in this function without saving the transaction.

Note: If all units transferred for an item are not received at their destination at the same time, this function can be used repeatedly, until all of the units represented by a transfer have been recorded as received; provided that the Closed checkbox is not marked.

Q. How do I record units of inventory items lost during transfer between warehouses?

A. In the Receive Warehouse Item Transfer function, indicate the actual quantity received in the Receive Quantity column and mark the checkbox in the Closed column.  The system will record the transfer of the actual quantity of items received in the new warehouse and will create a lost inventory item entry for the remaining unreceived quantity.

Q. I transferred units of an inventory item from one warehouse to another using the Warehouse Item Transfer function.  However, when I tried to receive it in the Receive Warehouse Item Transfer function, there is no record of the transfer I made. What did I miss?

A. When you transferred units of an inventory item from one warehouse to another and you indicated a specific bin for the target warehouse, the system automatically posted the transferred units as received.  Therefore, you need not access the Received Warehouse Item Transfer function to record the receipt of the goods.
