Customer Cash Receipts Report

The Customer Cash Receipts Report function allows you to generate a report that shows information on the payments that you have recorded in AccountMate Enterprise for customer invoices and advanced bills.

 

This report has the following uses:

To view the details of the payments.

To use in the comparison of the recorded payments against bank deposits.

Note: The report may include information on credit card numbers. If you have the access right, you can view the full credit card number; otherwise, only the last four numbers will be shown and the rest of the numbers are encrypted.

 

 

To print a Customer Cash Receipts Report, perform the following steps:

 

1.Access the Customer Cash Receipts Report function from the Receipts Reports group under the Reports main menu in the Accounts Receivable module.

 

2.Click the List box button next to the Configuration field; then, select the report configuration that you want to use.

 

3.Select the report sorting option by clicking the List box button next to the Sort By field.

 

4.In the Layout field, click the List box button to select the report layout you want to use in generating the report.

 

To show multi-currencies in the report, select the option with 'multi-currency' in the layout name. Note that this layout option is only available if the multi-currency feature is activated.

 

5.In the Report Configuration area, define the preferred report filters.

 

6.Select the type of payments for which you want to include in the report:

 

Cash

Check

Credit Card

C.O.D.

ACH

Others

Note: You must select a payment type; otherwise, no report will be generated.

 

 

7.Select the transaction type you want to show in the report. Choose any of the following options:

 

Payments and Voided Payments

Payments Only

Voided Payments Only

 

8.Select one of the following options:

 

oShow Pay Code

Select this option if you want to include the transactions' pay code information in the report.

 

oShow Credit Card #

This option is only available if you have the access right to Show Credit Card Number; otherwise, you cannot find this option in the report interface. Select this option if you want to include the credit card numbers in the report.

 

If the ClickToPay feature is enabled and the payment record is coming from the online payment portal, the credit card number is masked even if you have the access rights to view it. The report will only show the first six (6) and the last four (4) digits of the credit card number and the rest are masked.

 

9.Mark any or all of the following checkboxes, if applicable:

 

oInclude Refund Payments in AR

Mark this checkbox if you want to include the negative receipts brought about by cash/credit card refunds on open credits.

 

oConsolidate Report

Mark this checkbox if you want the report to show the cash receipts for both the consolidation and subsidiary customers.

 

10.Click the Preview or Print button to preview or print the report. Click the Configure tab to return to the report configuration page.

 

 

 

The Customer Cash Receipts Report function also provides you with the flexibility to perform the following:

 

Set up user-defined report macro

Set up user-defined sort option

Set up user-defined report layout

Include notes in the printed report

Export the report to various supported file formats

Send the report as attachment to an email

Include time and printed by information

Drill-down on certain fields in the report:

oCustomer #

AccountMate displays the Cash Receipts Report when you double-click the receipt number in the report.

 

oBank #

AccountMate displays the Bank Profile when you double-click the bank number in the report.

 

oTransaction #

AccountMate displays the Payment Distribution Report when you double-click the transaction number in the report.

 

oCurrency

AccountMate displays the Currency Profile when you double-click the currency code in the report.
