The Credit Card Processing page is where you define the parameters necessary for setting up the credit card processing feature. It allows you to set up the necessary transmission parameters to configure how the credit card integration feature integrates with AccountMate and with the credit card processing provider.
This page is activated if the Enable Credit Card Processing checkbox is marked in the General Information page.
Before activating the Credit Card Processing feature, you must first perform the following procedures outside of the AccountMate Enterprise application:
1.Sign up with one of the providers and/or gateways that AccountMate Enterprise currently supports:
•REPAY (APS Integration)
2.Obtain from the provider your unique login information (e.g. account number, password, API login ID, transaction key, and/or security key, whichever is applicable) that you will use when setting up the Credit Card Processing feature in AccountMate Enterprise.
Perform the following procedures to set up the parameters for Credit Card Processing:
1.In the Account area, enter the required values in the following fields:
oProvider
Click the drop-down list next to this field and select the preferred credit card processing provider. |

oMerchant ID
Enter in this field the account number that the provider has supplied to you for use when accessing their online portal. This is a special account number that identifies you as one of their merchant accounts. |
oSecurity Key
Enter in this field the special security key or password that the provider has supplied to you for use when accessing their online portal. This security key (e.g., API key, transaction key, password, etc.) is used in conjunction with your merchant account number to access the provider's online system. |
oBin
Enter the value in this field if supplied by your provider; otherwise, you can leave this field blank. |
2.Click the Test Connection button to perform a test transaction with your chosen provider. A pop-up window will display to inform you whether or not the connection testing is successful; click the Ok button to proceed. Performing a test with your provider is necessary to ensure successful connection before you process actual credit card transactions.
3.In the System Settings area, perform the following:
oDeactivate Credit Card Processing
Mark this checkbox if you want to temporarily deactivate the credit card processing feature in the company you are currently accessing. Doing this will not erase the settings already defined for credit card processing; however, credit card payments will not be processed in Transaction functions. You can re-activate the feature at any time by un-marking this checkbox. |
oDiagnostic Mode
Mark this checkbox if instructed by AccountMate Technical Support; otherwise, leave this checkbox unmarked. This setting is only used to diagnose connectivity issues, if any (e.g. failed to receive a response, etc). |
oExternal IP Address
Enter in this field the public IP address assigned to your computer device if your provider offers additional security to only allow connections from a specific IP address. The IP address you give to your provide must match the actual IP address you are processing from to prevent declined transactions. |
oData Level
Click the drop-down list next to this field to select the applicable data level that you want to use with your provider. The value entered here corresponds to the set of required information that you want to pass to your provider to successfully complete a transaction. Not all providers support Level 3 data so check this first with your chosen provider. At a minimum, credit card processing only transmits at Level 2. |
oPre-Auth Expiration Days
The value entered in this field refers to the number of days for pre-authorizations to stay active. Accept or amend the provider-supplied default value in this field. The length of a pre-authorization is determined by your chosen provider and your customer's credit card issuer so this should not be changed unless instructed by your provider. |
oOverage
Accept or amend the default pre-authorization overage % value. This setting is to define how much a shipment can exceed a pre-authorized amount. The overage allowed is determined by your chosen provider and your customer’s credit card issuer. Each provide has a different maximum percentage so you should discuss it with your provider before changing the value. Changing the value in this field is not a guarantee that a shipment amount greater than the pre-authorized amount will be processed. |
4.In the Customer Credit Card Settings area, mark the Save Customer Credit Card Data if you want to save customers' credit card information in the AccountMate Enterprise customer file and with your chosen provider, if they offer the ability to save the information; otherwise, leave this checkbox unmarked.

5.Accept or amend the default value in the Timeout Period field. If you are getting failed responses due to very slow or intermittent internet connection, increase the value in this field.
6.In the Void Payment Option field, click the drop-down list and select the preferred option:
oDo not allow void payments
Select this option if you want that voiding any credit card payments is disallowed. If selected, you must issue refunds to credit card transactions instead. This is the preferred option. |
oDo not process credit card
Select this option if you want that any payment associated with a credit card transaction will be voided in AccountMate but will not be voided with the provider. A refund must be issued to the customer’s credit card, if necessary. This setting should only be used under special situations as directed by AccountMate Technical Support. |
oAlways process credit card
Select this option if you want that any payment associated with a credit card transaction will be voided both in AccountMate and with the provider. Credit card payments will be refunded to the customer when the payment is voided. |
7.Select the option that you want to use in the Open Credit Option field:
oDo not allow apply open credits
Select this option if you do not want to apply customer open credits to transactions. The customer's credit card will be charged for the entire transaction balance. |
oAlways fully apply open credits
Select this option if you want to automatically apply all of customer's open credits to transactions before charging customer's credit card. |
oAllow selection of open credits to apply
Select this option if you want the ability to choose which customer open credit to apply to a transaction and in what sequence before charging the customer's credit card. |
8.In the Refund Option field, accept the default Require original Credit Card Transactions option. This means that the original credit card transaction must be paid by a credit card before the open credits can be refunded.
9.Enter in the Product Description field the default transaction description your customers will see on their credit card statement. It can also be additional information your customers can view about the credit card transaction. You may work with your provider to determine the best description to enter.
10.Select in the Industry field, the type of industry your company belongs to (if in doubt, ask your provider for the correct option to select in this field):
•eCommerce
•Mail Order/Telephone Order
•Restaurant
•Retail
11.In the Intl. Commodity Code, enter the internationally recognized product classification number or reference number supplied by your chosen provider.
12.Mark the Require Pre-Authorizations for SO Shipments checkbox if you want to require sales orders paid by credit cards to be pre-authorized before shipment. Marking this checkbox will enable the Auto Pre-Authorize Sales Orders and Approved Quotes checkbox.
13.Mark the Auto Pre-Authorize Sales Orders and Approved Quotes checkbox if you want pre-authorizations to be automatically done for all sales orders when they are created. This checkbox is available only when the Require Pre-Authorization for SO Shipments checkbox is marked.
If you mark this checkbox, be sure that you have entered enough freight on your sales orders to cover the actual freight amount when shipping the order; otherwise, you must void the pre-authorization, enter the freight amount, manually pre-authorize the sales order, and ship the order.
14.Mark any of the following checkboxes, whichever is applicable:
oRequire Address (AVS)
It is highly recommended that you mark this checkbox if you are using the Address Verification Service (AVS) and require all addresses to be entered for all customer credit cards. If you are storing your customer’s credit card information with your provider, you are not allowed to unmark this setting. |
oRequire Security # (CVV)
Mark this checkbox to require all new credit card transactions to have the customers’ Security # or Card Verification Value (CVV). You must always ask this information from your customers for each of their transactions since this is not allowed to be saved for future transactions as per PCI regulations. Existing credit cards already saved with your provider do not require the Security # (CVV). If you are storing your customer’s credit card information with your provider, you are not allowed to unmark this setting. |
oRequire Cardholder Name
Mark this checkbox to require the cardholder’s name to be entered. Failure to provide the name on the card may result in higher credit card fees charged on transactions; thus, it is highly recommended to mark this setting. |
oAlways Verify on Sales Order
Mark this checkbox if you want to verify the credit card data when creating sales order transactions. |
oAlways Verify on Sales Quote
Mark this checkbox if you want to verify the credit card data when creating sales quote transactions. |
oAlways Verify on Approve Sales Quote
Mark this checkbox if you want to verify the credit card data when approving sales quote transactions. |
15.In the Accepted Credit Cards area, mark the credit card issuer that your provider accepts:
•American Express
•Visa
•Mastercard
•Discover
