Lot Control in Inventory Type and Inventory Maintenance

Lot control features for inventory item records can be set up by using an inventory type template that sets default lot control features when creating new inventory item records, or you can also directly create new lot-controlled items.  Lot-controlled item records can be created using the Inventory Control, Sales Order and Accounts Receivable modules.

You must set up lot control features at the time when you create the inventory item maintenance record; otherwise, lot control options will be disabled after saving the inventory maintenance record.

Note: Lot control features for inventory types and inventory items are similar and set up in the Settings Page of the corresponding Inventory Type Maintenance or Inventory Maintenance function.

 

 

To set up lot control features for an inventory type or inventory item, perform the following procedures:

 

1.Access either the Inventory Type Maintenance or Inventory Maintenance function from the Maintenance menu to display the corresponding function screens.

 

2.Click on the Settings Page of either the Inventory Type or the Inventory Maintenance function window.

 

3.Mark the following checkboxes in the Lot Control area, when applicable:

 

oUse Lot #

Mark this checkbox to require lot-production numbers for the units of this applicable inventory type or inventory item for tracking purposes.  A lot number indicates the specific lot from which each item comes. For example, lot numbers can be assigned to each batch of processed milk, medicine or computer chips. Lot numbers are very useful in tracking units of a production batch that need to be modified, upgraded or recalled.

Note:  You can no longer change the setting in the Use Lot # checkbox once you have saved this record.

 

 

oPrint Lot # on Invoice

This field is enabled after marking the Use Lot # checkbox and is marked by default.  Leave this checkbox marked if you want to print lot numbers on invoices when units of this item are being billed to your customers.

 

oCheck Minimum Shelf Life

Marked by default, this checkbox allows you want to define the lot item's shelf life. If this checkbox is marked, be sure to specify the lot item's shelf life in the fields below.

 

oMinimum Days to Sell

Enter in this field the length of time (in days) a lot-controlled item must be sold before it expires (store shelf life). This field is enabled after marking the Check Minimum Shelf Life checkbox.

 

oMinimum Days to Use

Enter in this field the recommended time (in days) for the lot-controlled item's optimum quality or freshness. This refers to the number of days the manufacturer recommends that the consumer use their product for peak quality. This field is enabled after marking the Check Minimum Shelf Life checkbox.
