You can set up multiple substitutes for a specific inventory item record through the Substitute Inventory Maintenance function. In case you run out of on-hand quantities or the available on-hand quantity for a specific inventory item is not enough to cover an order, you can easily suggest to the customer other available substitute items.

To set up a list of substitute inventory items for a particular inventory record, perform the following procedures:

1.Access the Substitute Inventory Maintenance function from the Inventory group under the the Maintenance main menu in the Sales Order module. Click the New button to create a new list of substitute inventory for an item.

2.Enter in the Item # field the code of the inventory item that you want to set up with a list of substitute inventory items.

Note: If you enter an inventory item with existing substitute items, the substitute items will be displayed in the grid.

3.In the Substitute Items grid, perform these steps:

3.1. Activate a new line in the Line Items grid by clicking the Append row to end button.

3.2. Enter the inventory item number in the Substitute Item # field. These inventory items serve as substitutes for the inventory item in the Item # field. Alternatively, click the List box button to select an inventory item. Once a valid item # is entered in this field, the item's description displayed in the corresponding field in the grid.

3.3. Click the Show () button to access the Details tab that shows other details of the substitute item currently highlighted.

3.4. For subsequent line item entries, you may click the Append row to end button to activate a line in the grid or click the Insert row before current button to insert a blank line above the currently selected line item.

3.5. To delete a line item in the grid, select the line item that you want to delete; then, click the Delete button in the grid toolbar.

4.Review the information for the substitute items displayed in the grid. When you are done setting up the substitute inventory item records, click the Save button in the function toolbar to save your entries; otherwise, click Cancel to discard your entries.

Q. Can I set up more than one list of substitute for one inventory item?

A. You can only set up one list of substitute items for an inventory item. However, the list can contain any number of substitutes for that inventory item.
