Amend Serial Numbers

If you have erroneously assigned a serial number to your inventory item or if your company wants to shift to another coding convention for your serialized inventory items, you can amend or delete assigned serial numbers using the Amend Serial # function.

 

 

To amend or delete assigned serial numbers, perform the following steps:

 

1.Access the Amend Serial Number function from the Serial Number group under the Transactions menu in the Inventory Control module.

Note: Various drillable fields are available in this function screen. When you click any drillable fields in this function, the system automatically displays the corresponding Maintenance function screen.

 

 

2.Enter values on the following fields in the top most area of the function screen:

 

oWarehouse

Enter in this field the warehouse code where the serialized inventory item you want to amend or delete is stored. Alternatively, click the List box button to display a list of available warehouses in the selected company; then, click the warehouse code to select.

 

oBin

Enter in this field the bin code that stores the serialized item.

 

oBarcode

You may manually enter an item's barcode or use a barcode scanner to enter values in this field. Once a valid barcode is entered in this field, the corresponding item # is displayed in the Item # field. Note that this field is disabled if the Use Barcode Scanner is not activated. You can activate the Use Barcode Scanner feature in the IC Module Setup function.

 

oItem #

Enter in this field the number of the serialized inventory item whose serial number you want to amend.

Note: If you enter in the Item # field a number of an inventory item which units you have assigned with serial numbers, the system will show a zero value in the Unassigned Quantity field.  If you enter a non-zero value in the Quantity to Assign field, the system will display a message, “Quantity to assign serial numbers cannot be more than the unassigned quantity.”

 

 

oSpecification

If the item entered in the Item # field is an item with specification, enter in this field the item's specification.

 

oStock U of M

This read-only field shows the serialized item's stock unit-of-measurement.

 

3.In the Amend Serial # page, perform the following steps:

 

3.1. In the Current Serial # field, select the serial number(s) you want to amend or delete. Click the List box button to select either Range or All option. If you choose Range, enter in the From/To fields the beginning and end values for the serial # range. Alternatively, you may click the List box buttons in each field to select the appropriate serial numbers.

 

3.2. Enter in the Beginning Serial # field the new starting serial number you want to assign to the serialized inventory item.

 

3.3. In the Incremental Positions fields, enter the positions in the serial number entered in the Beginning Serial # field where the system starts increasing the assignment of serial numbers.  

 

3.4. Enter in the Increment By field the value by which each sequential serial number will increase over the preceding serial number. For example, to assign serial numbers for 10 units from 1001 to 1010, enter 1001 in the Beginning Serial # field; then, enter in the Incremental Position field the positions 3 to 4 (counting from the left) and enter 1 in the Increment By field.

 

3.5. Review the range of system-generated serial numbers by viewing the first and last serial numbers in the First New Serial # and Last New Serial # fields, respectively.

Note: You may click the Cancel button in this page to clear the information on this screen or to close the function.

 

 

4.In the Review Serial # Page, review the values in the grid. The fields in the grid are read-only except for the Serial # field which is editable. Each line in the grid corresponds to one unit of the serialized item that you want to assign a serial number. This page also allows you to amend the system-generated serial numbers, if necessary.

 

4.1. To amend the serial number in this page, highlight in the New Serial # column the serial number that you want to amend; then, manually enter the desired new serial number into this field. Repeat this step for each serial number that you want to amend.

 

4.2. To save the new serial number you assign to the serialized inventory item, click the Update button in this page.

 

5.The Summary Page will display the total number of serial numbers assigned to the inventory item units and the user's name that performed the changes. The information in the read-only fields are for your reference.

Q. How do I amend serial numbers assigned to units of built customized kit inventory item?

A. You cannot amend serial numbers assigned to a component of a built customized kit inventory item.  You must disassemble the customized kit inventory item before you can amend the serial number assigned to a component of a kit item; otherwise, when you enter the serial number of the component kit inventory item in the Amend Serial Number function, you will receive a message that the serial number does not exist.
