The Input Physical Count function allows you to record in AccountMate Enterprise the results of the actual physical inventory count. Before performing the actual physical inventory count, you can print the following reports:
•Physical Count Worksheet
•Physical Count Serial # Report
You can use these reports as a reference for an organized documentation of your physical inventory counts. Be sure to note the serial numbers of any serialized inventory items that you count.
When the counts are completed, you are ready to proceed to the next step which is to enter the physical inventory count results and the related serial numbers into the system.
To input the results of the physical count into the system, perform the following procedures:
1.Access the Input Physical Count function from the Physical Count group under the Transactions menu of the Inventory Control module.
2.In the Selection Criteria page, define the desired criteria to filter the inventory items for which you want to input physical count results. You may opt to include all records for each criterion by selecting the All option from the List box field; otherwise, you may choose the Range option to select only a range of records for the following criteria:
oWarehouse
Enter in this field the warehouse code where the inventory items you want to input the results of the physical count are located. |
oBin
Enter in this field the bin of the specified warehouse where the inventory items you want to input the results of the physical count are located. |
oABC Category
Enter in this the category code of the items you want to freeze, if applicable. |
oItem #
Enter in this field the inventory items you want to input the result of your physical counts. |
oItem Class
Enter in this field the item class of inventory items which you want to enter the result of your physical counts. |
oProduct Line
Enter in this field the product line of the inventory items which you want to input the result of your physical counts. |
3.In the Input By section, choose either of these two options:
oBin
Select this option to display the inventory items per bin location when you input the actual counted on-hand quantities for each inventory item. |
oItem
Select this option to display the inventory items sequentially in alphabetical order when you input the actual counted on-hand quantities for each inventory item. |
4.Mark the Show on-hand quantity at the time of freeze checkbox if you want the information to show on the screen while entering the physical count results; otherwise, leave the checkbox unmarked.
5.Click the OK button to proceed with entering the physical count quantities; otherwise, click the Cancel button in the function toolbar.
After the OK button is clicked, a message will display asking your confirmation to make the on-hand quantities as the default counted on-hand quantities. Click the Yes button to display the system on-hand quantities as the default counted on-hand quantities in the Counted column grid in the Input Physical Count page; otherwise, click the No button for the system to display zero values in the Counted column grid of the Input Physical Count page. The Input Physical Count page is automatically displayed after clicking either Yes or No in the message box. |
6.In the Input Physical Count page, enter the actual count quantities of the frozen inventory items. Refer to the Input Physical Count Page for more details.
7.When you are ready, click the Save button in the function toolbar to save the entered counted quantities; otherwise, click the Cancel button.
