Create Sales Return with Invoice #

Use the Create Sales Return with Invoice # function to create sales returns with reference to an invoice against which it applies.  You must provide the number of the invoice that is to be credited for this transaction.  Once you provide the invoice number, the system displays as the default items in the Line Items tab all the line items in the invoice.

Note: The Create Sales Return with Invoice # function is similar to the AR Invoice function except for some differences in the fields above the tabs and fields in the Information page and Line Items page.

 

 

 

To create a sales return with reference to an invoice number, perform the following steps:

 

1.Access the Create Sales Return with Invoice # function from the Sales Return group in the Transactions menu of the Accounts Receivable module.

 

2.In the Customer # field, enter the number of the customer for whom you want to record a sales return with reference to an invoice #. Alternatively, you may click the Lookup button to display in a list all customers with active status; then, click a customer number to select.

 

3.In the Source Invoice # area, select either Invoice # or Multiple option. If you select Invoice #, enter in the adjacent field the invoice # against which you will apply the sales return. Alternatively, you may click the List box button to select from a list the appropriate invoice transaction; click the invoice # to select. Once a valid invoice # is entered, the invoice details are displayed in its corresponding fields.

 

4.In the Information page, review and accept, enter or amend the information which is applicable to the sales return.  For more information, refer to the Information Page section.

 

5.In the Line Items page, review and accept, enter or amend the line item information for the sales return.  For more information, refer to the Line Items Page section.

 

6.In the Payment/Bill/Ship page, provide the method of payment and review the billing and shipping addresses as well as contact information for the sales return. For more information, refer to the Payment/Bill/Ship Page section.

 

7.View or update the customer activities in the Activity page. Refer to the Activity Page section for more information.

 

8.In the Notes page, enter narrative information about the customer and the sales return.  For more information, refer to the Notes Page section.

 

9.When you are ready to save this sales return transaction, click the Save button in the function toolbar to display the save confirmation window. If the Invoice Numbering in AR Module Setup is configured to:

 

oAutomatic

The invoice # is automatically assigned using the value in the Next Invoice # in AR Module Setup.

 

oUser Input (Numeric)

The Invoice # field is enabled. Enter in this field the invoice # you want to assign to the sales return transaction. The default value comes from the the Next Invoice # field in AR Module Setup. Click the Save button after you enter the desired invoice # in the Invoice # field.

 

10.Once the transaction is successfully saved, you may click any of these buttons in the save confirmation window:

 

oPreview

Click this button if you want to preview the invoice created for the sales return transaction.

 

oPrint

Click this button to print the invoice created for the sales return.

 

oApply Payment

Clicking this button will display the AR Apply Payment function, Payment Details page where you can proceed to apply payment for the invoice. For more details on how to process payments to customer invoices, refer to the Apply Payments to Invoices section.

 

oNew

Click this button to close the save confirmation window and display the main function screen ready for a new transaction.

 

oClose

This is the X button in the upper right corner of the save confirmation window. Click this button to close the save window.

Note: The Preview, Print and Apply Payment buttons are enabled only if the user has the necessary access rights to these function. To manage user access rights, use the Groups access rights function in the System Administrator module.
