Update or Delete Transaction Code

In AccountMate, you may review and edit or delete an existing transaction code record. The changes you make will only affect the transactions that you post after you made the changes.

 

 

To amend or update a transaction code record, perform the following steps:

 

1.Access the Transaction Code Maintenance function from the Bank group under the Maintenance menu of the Bank Reconciliation module. The Search screen is automatically displayed when this function is accessed.

 

2.Enter in the Search field the Transaction Code you wish to update. You may also scroll up or down the grid to locate the Transaction Code; then, double-click the code to select. As soon as a transaction code is selected, the details are displayed on their corresponding fields.

 

Alternatively, you may use the full text search feature when searching for transaction code records. Simply click the Show Full Text Search button in the right-most section of the screen to display the Full Text Search field.  Enter in this field the value of the record you want to search for using the values in the columns displayed on the Search screen.

 

3.Amend or update the values in the following fields. Note however, that fields that are grayed out or inaccessible cannot be edited or changed.

 

oDescription

Enter in this field the name or a description you will use to identify the transaction code.

 

oShort Description

Enter in this field a brief description that you will use to easily identify the transaction code.

 

oStatus

Click the List box button to select either Active or Inactive status for this transaction code record. That note that you can not create transactions using an Inactive transaction code.

 

oTransaction Type

Click the List box button to select the transaction type you want to assign to the transaction code. Select either Other Receipts, Interest Earned, Other Disbursements, bank fees, intra-bank transfers or inter-bank transfers. Refer to the Set Up Transaction Code section for details regarding Transaction Types.

 

4.In the Reference Accounts grid, you may add or delete distribution GL Account IDs to which you want to post the receipt, disbursement, or transfer transaction. To do this, follow these steps:

 

4.1. Click the Append row to end button or the Insert row before current button to add a blank line in the grid.

 

4.2. Enter in the Account ID column the GL Account ID to which you want to post the receipt, disbursement, or transfer transaction. Once a GL Account ID is entered in this field, the its description will automatically display in the adjacent field under the Account Description column.

 

4.3. Enter the distribution percentage in the Distribution % column.

Note:  The total distribution percentage must be equal to 100%; otherwise, you cannot save the transaction code record.

 

4.4. If you must delete a Reference GL Account ID from the grid, highlight that entry; then, click the Delete button.

 

5.When you are ready, click the Save button to save your changes; otherwise, click the Cancel button to disregard any changes.

 

 

 

To delete a transaction code record, perform the following steps:

 

1.Access the Transaction Code Maintenance function from the Bank group under the Maintenance menu of the Bank Reconciliation module. The Search screen is automatically displayed when this function is accessed.

 

2.Enter in the Search field the Transaction Code you wish to update. You may also scroll up or down the grid to locate the Transaction Code; then, double-click the code to select. As soon as a transaction code is selected, the details are displayed on their corresponding fields.

 

Alternatively, you may use the full text search feature when searching for transaction code records. Simply click the Show Full Text Search button in the right-most section of the screen to display the Full Text Search field.  Enter in this field the value of the record you want to search for using the values in the columns displayed on the Search screen.

 

3.When you are ready, click the Delete button in the function toolbar. A message window pops-up asking for confirmation to delete the transaction code record. Click Yes to confirm deletion; otherwise, click No to abort deletion.
