Creating sales orders in AccountMate increases the open order balance on the customer record and the booked quantity on affected inventory records. Shipping the sales orders increases the customer’s balance, Accumulated-to-Date (ATD) and Year-to-Date (YTD) sales while it decreases the customer’s open order balance, booked quantity and on-hand quantities on affected inventory records.

Sales quotes are non-binding and do not affect inventory quantities and customer balances. The document numbers assigned to sales quotes come from the same numerical sequence as sales order numbers; thus, are referred to as sales order numbers. Sales quotes are converted into sales orders through the Approve Sales Quote function and they keep the same sales order numbers.

Note: Although the process of creating sales orders and quotes are handled by separate functions, much of the procedures and screens involved are similar. The discussion to follow will use the term “Sales Order” to refer to both sales orders and quotes unless indicated otherwise.

You can create a sales order by performing any of the following:

•Using the Create Sales Order or Create Sales Quote function

•Copy from a sales order or sales quote record

•Approve a sales quote

•Create a recurring sales order

•Release items from a blanket sales order

Q. How can I restrict certain users from creating sales orders and sales quotes?

A. Only users who have access rights to the Create Sales Order and/or Create Sales Quote function can create sales orders and/or sales quotes. To grant access rights, perform the following:

1.Access the Groups Setup function from the Access Rights group in the System Administration page in the System Administrator module.

2.Select the group that you want to grant access to the Create Sales Order and/or Create Sales Quote function. If you want to create a new group of users, click the New button.

3.Locate Sales Order module from the Access Rights grid; then, select Sales Order or Blanket Sales Order entry.

4.Grant access rights to the group for the Create Sales Order and/or Create Sales Quote function by marking the Add, Edit or Full Access checkboxes in the Access Rights Page.
