The System E-mail Account Setup function provides users the ability to define and set up the email information that will be used as the sender for the multi-factor verification code. Authorized users must provide the required information based on the selected option in the SMTP Mail field.
To set up system e-mail account, perform the following:
1.Access the System E-mail Account Setup function from the System Administration menu in the System Administrator module.
2.In the SMTP Mail field, select the supported email service you want to use. Choose from the following options:
•Exchange
•Gmail
•Hotmail (Office 365)
•Yahoo
•Other
3.Enter in the Display Name field the value that will be displayed in the From field when emailing using the specified e-mail address.
4.In the Email field, enter the e-mail address that will be used in sending verification codes. The value in this field must correspond to the option selected in the SMTP Mail field. For example, if the option selected is Gmail; then, the e-mail address entered in this field must have '@gmail.com'
5.Enter in the Password field the password for the SMTP client application from your e-mail provider. This is the password that is auto-generated when users activate the 2-step verification and set up the app password in their respective email accounts (e.g. app password in Gmail).
6.Enter in the SMTP Server Name field the name of the mail server that you wish to use; then, enter in the SMTP Server Port field the port number that the mail server you entered will use. These fields are enabled only if the option selected in the SMTP Mail field is 'Other'.
7.When you are ready, click the Test button to run a validation test and check if the system can connect using the information provided in this function.
If successful, the message "Connected successfully" is displayed; otherwise it will show "Test connection failed. Please review email account information entered." You cannot proceed with setting up the system e-mail unless you have successfully connected to your SMTP mail account.
8.After you have successfully run the validation test, click the Save button to save your settings.
