The Report Email and Export Setup function allows you to set up the filename, subject line, and default email message that will be used when reports are exported and e-mailed. You have options to specify the filename and/or subject line that apply either to each individual report or to all reports. You can also opt to set up the email body template that applies to all reports.
To set up the parameters for exporting and e-mailing reports, perform the following steps:
1.Access the Report Email/Export Setup function from the Setup group under the System Administration menu of the System Administrator module. The Report Export/Email Setup window is displayed.
2.Select from the Report Name column a report for which you will set up the filename and subject line that will be used when exporting and e-mailing it.
3.Set up in the Subject Line field the default subject for the e-mail to which the report will be attached and choose the information (i.e., company name, report title, sort option name) you want to merge in the subject line. Manually enter the subject line in the appropriate field and/or enter the merge code(s) that represents the piece of information to be automatically merged in the subject line. Alternatively, you may right-click on the subject line field to easily select the merge codes that you may want to be automatically merged in the email subject line. It also allows you easy access to the following options: cut, copy and paste. The available codes are listed in the Merge Code Legend area.
Click the Apply All button beside the subject line field if you wish to make the subject line template you entered in the field to be the subject line for all the reports. Click Yes to confirm; otherwise, click No.
4.Set up in the Email Body area the default message for the email to which the report will be attached. Manually enter the email message and/or enter the merge code(s) that you wish to add to the email body. You may right mouse-click anywhere on the Email Body field to access the following options: cut, copy and paste; add hyperlink; or add formatting to the font or paragraph. The available codes are listed in the Merge Code Legend area.
5.Set up in the Export File Name area the filename that you want AccountMate to assign to the report file for export or for e-mail attachment. Manually enter the filename in the Individual Export or Multiple Export field and/or enter the merge codes of the information you want to be automatically merged in the filename. Alternatively, you may right-click on either the Individual Export or Multiple Export field to easily select the merge code(s) from the list. It also allows you easy access to the following options: cut, copy and paste. The available codes are listed in the Merge Code Legend area.
If you want to assign the same filename to all reports provided that the Individual checkbox is marked in the report interface, click the Apply All button beside the Individual Export field; then, click Yes in the dialog box for confirmation; otherwise, click No.
If you want to assign the same filename to all reports provided that the Individual checkbox is not marked in the report interface, click the Apply All button beside the Multiple Export field; then, click Yes in the dialog box for confirmation; otherwise, click No.

6. Repeat the above procedures for each report that you want to set up the details to be used when exporting or e-mailing the report.
