AR Aging Report

The AR Aging Report function allows you to generate an Aging Report for your customer accounts as of a certain date.  

 

This report has the following uses:

 

To guide management on collection efforts

To facilitate in the analysis of receivables and customer credit worthiness

To facilitate forecast of payment receipts

 

 

To print an AR Aging Report, perform the following steps:

 

1.Access the AR Aging Report function from the Receivable Management group under the Reports main menu in the Accounts Receivable module.

 

2.Click the List box button next to the Configuration field; then, select the report configuration that you want to use.

 

3.Select the report sorting option by clicking the List box button next to the Sort By field. If you want to group the records in this report by parent customer #, select the Company + Invoice Date Sort By option.

 

4.In the Layout field, click the List box button to select the report layout you want to use in generating the report.

 

To show multi-currencies in the report, select the option with 'multi-currency' in the layout name. Note that this layout option is only available if the multi-currency feature is activated.

 

5.In the Report Configuration area, define the preferred report filters. You may mark the Individual checkbox if you want to generate the report for a single record, and enter the appropriate value in the adjacent field; otherwise, select in the Filters area the preferred criteria in generating the report.

 

6.Select from the options below the type of aging you want to generate the report:

 

oCurrent Aging

This option ages your receivables by due date or invoice date up to the date you are generating the report.

 

oHistory Aging

This option ages your receivables by due date or invoice date up to the date entered in the Report Date field. If you select this option, you must enter in the Report Date field the cut-off date of the report. Invoices and/or open credits dated after this date will not be included in the report.

 

7.Next, select from the options below how you want to age the receivables:

 

oAge by Due Date

Select this option if you want the system to age the receivables by counting from the due date up to the date you are generating the report or the report date, depending on whether you select the Current Aging or History Aging option, respectively.

 

oAge by Invoice Date

Select this option if you want the system to age the receivables by counting from the invoice date up to the date you are generating this report or the report date, depending on whether you select the Current Aging or History Aging option, respectively.

 

8.Select one of the following types of invoices that you want to include in the report:

 

Invoices and Sales Returns

Sales Invoices Only

Past Due Sales Invoices Only

Sales Returns Only

 

9.Mark any or all of the following checkboxes, if applicable:

 

oInclude Open Credits

Mark this checkbox if you want to include the open credits in the report.

 

oShow Last Paid Date

Mark this checkbox if you want to display in the report the last paid date recorded for each invoice.

 

oShow Customer PO #

Mark this checkbox if you want to show in the report the corresponding purchase order number for each customer invoice, if any.

 

oConsolidate Aging

Mark this checkbox if you want the report to show aging information for both the parent and subsidiary customers.

 

10.Click the Preview or Print button to preview or print the report. Click the Configure tab to return to the report configuration page.

 

 

The AR Aging Report function also provides you with the flexibility to perform the following:

 

Set up user-defined report macro

Set up user-defined sort option

Set up user-defined report layout

Include notes in the printed report

Export the report to various supported file formats

Send the report as attachment to an email

Include time and printed by information

Drill-down on certain fields in the report:

oCustomer #

AccountMate displays the Customer Profile when you double-click the customer number in the report.

 

oInvoice #

AccountMate displays the Invoice document when you double-click the invoice number in the report.

 

oSalesperson #

AccountMate displays the Salesperson Profile when you double-click the salesperson number in the report.

 

oCurrency

AccountMate displays the Currency Profile when you double-click the currency code in the report.
