After selecting the filter criteria on transactions to show on the screen, the invoices that meet the conditions are displayed in the Authorize Payment area in the Payments Details page. In this area, you can enter the authorized payment amounts for each invoice or charge transaction and unpaid prepayments. You may also apply open debits as payments to invoices, charge transactions or prepayments.
Perform the following steps on this page:
1.In the Authorize Payment area, enter in the Apply Date field the date you want to use as the authorize payment transaction date.
2.Click the Apply Debit button if you want to use open debits as payment to the invoices you select in the grid. Clicking this button will automatically display the Open Debit Details page where you can set the open debit amount to use. For more details, see Open Debit Details section.
The open debit amount that you authorize to be used as payment for invoices from the Open Debit Details page will display in the Unapplied Open Debit field. Manually enter in the Apply Open Debit column the amounts you want to use as payment for each invoice you select, which when the amounts are totaled will equal the amount in the Unapplied Open Debit field.
3.In the Invoices grid, all invoices displayed are automatically applied full payment amount. You may accept or amend the amounts per transaction displayed on the grid.
There are 2 options you can choose to amend or edit payment application to invoices.
Option A:
You may click any of the following buttons in the grid toolbar to simultaneously effect the action you select to all transactions in the grid:
oApply All
Click this button to authorize full payment to all transactions shown in the grid and to automatically calculate the respective apply discount amount. |
oUn-apply All
Click this button to un-apply payment authorizations to all transactions shown in the grid and set the Apply Amount, Apply Discount, Apply Adjustment and Apply Open Debit columns to zero (0). |
oAuto-apply to selected record
Click this button to authorize full payment to the currently highlighted invoice transaction in the grid and to automatically calculate the apply discount amount. |
oUn-apply to selected record
Click this button to un-apply full payment to the currently highlighted invoice transaction in the grid and set it's Apply Amount, Apply Discount, Apply Adjustment and Apply Open Debit to zero (0). |
Option B:
If you want to edit or adjust the applicable amounts for each invoice that you want to authorize payment, perform the following steps:
3.1. Enter in the corresponding field under the Apply Payment column the amount that you want to authorize for payment. |
3.2. Amend the default values in the fields under the Apply Discount and Apply Adjustment columns, if applicable. |
3.3. Enter in the field under the Apply Open Debit column the open debit amount that you want to apply as payment to the invoice. |
4.You may amend the invoice's pay class code and bank # in the Pay Class and Bank # columns, respectively. The default values in these fields come from the invoice or charge transaction.
5.Click the checkbox under the Hold column if you want to put the invoice's payment to hold payment status. Marking this checkbox means that the invoice will not be eligible for payment until the Hold Payment status is released.

6.If the Show unpaid prepayments checkbox is marked in the Selection Criteria area, the Prepayments grid will be displayed showing all prepayments that are not yet paid nor voided.
7.The Authorized Balance field shows the full amount of the prepayment of the unpaid part of it. To amend the value, enter in this field the amount you want to authorize payment for the prepayment transaction.
