Selection Criteria

To define the filter of the account segments that you want to copy, perform the following:

 

1.Click the List box button in the Source Company field to select the company from which you want to copy the account information. You can copy chart of accounts either from within the current company or from other existing companies maintained in AccountMate Enterprise.

 

2.To select the segment ID from which you want to copy the information, click the List box button in the Copy Segment field.

 

3.Enter the segment value in the Source field to specify the segment value from which the desired GL Account IDs will be copied.

 

4.To enter the segment value in the current company that you want to copy the GL Account IDs into, enter the segment value in the Target field.

Notes:

If you copy a chart of accounts from another company in the system; the Copy Segment, Source and Target fields will be disabled since the system will automatically copy all the GL Account IDs from the source company.

If you copy from existing account segments in the same company, you must enter segment values in the Source and Target fields; otherwise, you get a message that no records were found that matches the criteria.

 

 

5.If you are copying chart of accounts from within the current company, you have the flexibility to specify the account segment values to copy by selecting these values in the Account Segment Value grid. This grid becomes enabled and editable only if you are copying chart of accounts from within the current company. The segment IDs that will display in the grid will depend on the GL account segments you have set up for your company. These account segments are defined when the company was first set up. Perform the following steps in the grid:

 

5.1. Click the Range field to select either All, Range or List. Select All if you want to copy all the segment values; Range if you want to copy a range of segment values; or List if you want to specific select segment values to copy.

 

5.2. Enter in the From/To fields the range of segment values in the selected segment you want to copy. Do this for each account segment that you want to copy segment values from.

Notes:

The first line in the account segment grid refers to the major segment as defined in your company's account segment definition during Company Setup. This line is disabled by default.

Selecting "All" option in the Range field will disable the From/To fields.

 

 

6.To further filter the account segment that will be copied to the target company, mark any or all of the options in the Account Status Filter area:

 

oInclude Active GL Account IDs

Mark this checkbox to include Active GL account IDs that meet the selection criteria and display in the New Account IDs page.

 

oInclude Inactive GL Account IDs

Mark this checkbox to include Inactive GL account IDs that meet the selection criteria and display in the New Account IDs page.

 

oSet Inactive GL Account IDs to Active

This checkbox is only enabled if the Include Inactive GL Account IDs checkbox is marked. Marking this checkbox configures the system to include Inactive GL account IDs that meets the selection criteria from the selected Source Company and display in the New Account IDs page as Active.

 

7.When you are ready, click the OK button to proceed. If there are GL Account IDs that meet the selection criteria you defined, the New Account IDs page will then be enabled; otherwise, you will get a pop-up message informing you that no records that match the criteria were found. Proceed to the New Account IDs page to continue the Mass Copy Chart of Accounts process.

Q. How do I copy the GL Account IDs of one department to another?

A:To perform this operation, follow these steps:

1.Access the Mass Copy Chart of Accounts function from the Maintenance main menu.

2.In the Source Company field, select the company for the department from which you wish to copy the GL Account IDs.

3.In the Copy Segment field, select the Department option.

4.In the Source field, enter or select the segment value of the department from which you wish to copy the GL Account IDs.

5.In the Target field, enter or select the segment value of the department to which you wish to copy the GL Account IDs.

6.If necessary, define in the Account Segment Value grid the filters for the GL Account IDs to be copied.

7.Click the OK button to enable the New Account IDs page that shows all the GL Account IDs to be copied.

8.In the New Account IDs page, select the GL Account ID to be copied; then, click the Copy button.
