Record Internal Stock Issuance

The Internal Stock Issuance function allows you to specify the details of the stock issuance that you will make.

 

 

To record an internal stock issuance, perform the following procedures:

 

1.Access the Internal Stock Issuance function from the Item Movement group under the Transactions menu in the Inventory Control module.

Note: Various drillable fields are available in this function screen. When you click any drillable fields in this function, the system automatically displays the corresponding Maintenance function screen.

 

 

2.Enter in the Warehouse field the warehouse where the inventory items will be released from. You may click the Lookup button to display available active warehouses; then, click a warehouse to select.

 

3.Accept or amend the default issuance date in the Issued Date field. The default date is the current system date.

 

4.Enter in the Remarks field the purpose and reference, if any, of the stock issuance. Take note that you must enter any relevant information in this field; otherwise, you won't be able to save the transaction.

 

5.Accept or amend the default GL Account ID in the the Inventory Adjustment field. The default value is the Inventory Adjustment GL Account ID set up in the selected warehouse maintenance record.

 

6.Mark the Post to GL checkbox if you want to reflect this issuance in the General Ledger; otherwise, leave the checkbox unmarked.

 

7.Activate a new line in the Items Issued grid by clicking the Append row to end button in the grid toolbar.

 

For subsequent line item entries, you may click the Append row to end button to activate a new line in the grid or click the Insert row before current button to insert a blank line above the currently selected line item.

 

To delete a line item entry in the grid, select the line item that you want to delete; then, click the Delete selected rows button in the grid toolbar.

 

8.Enter in the Item # field the inventory item number that you will issue for internal use. Alternatively, you may also click the Lookup button to select an inventory item. Once a valid item # is entered in this field, the item's related information are displayed in the corresponding fields in the grid.

 

If the inventory item has specification, the Specification field is enabled. You must specify in this field the particular specification to be issued.

 

If the inventory item is serialized, lot-controlled or a kit; you need to specify the serial number, lot number or the kit number of the inventory items to be issued. The Special column will display a colored code for each special inventory item: "SN" for serialized items, "Kit" for kit items and "Lot" for lot-controlled items. Double-click the code to display the Details tab and select the serial number, lot number or kit number, whichever is applicable. Alternatively, you may click the Show (hmtoggle_plus0) button to display the Details tab.

When you click the List box button beside the Item # field, the list will only display the inventory items that are stored in the warehouse indicated in the Information page.

You can change the default warehouse for inventory line items that you want to subsequently add in the grid by amending the value in the Warehouse field in the Information tab.

You can use a barcode scanner to enter the line items provided that you have installed the Inventory Control module, have activated the Use Barcode Scanner feature in the IC Module Setup function.  A Barcode field will be displayed in the Line Items page; you can scan SKU or UPC barcode IDs to enter line items in the grid. If the Update Quantity when Same Line Item Barcode Scanned Multiple Times checkbox is marked in IC Module Setup, scanning the same barcode ID multiple times updates the same line item record in the grid; otherwise, a new line item record is added in the grid each time the same barcode ID is scanned.  

 

 

9.Accept or amend in the Bin column the default warehouse bin where the inventory item will be issued from. You may click the List box button to display available active bins in the specified warehouse; then, click bin to select. The default bin is the bin with an on-hand quantity and with the lowest sequence number based on sequence of bins defined in the Warehouse page of the item's Inventory Maintenance record. If the units of the item are issued from more than one bin as specified in the Bins tab, the Bin field will display "Multiple".

 

10.Enter in the Issue Qty field the quantity of each line item that will be issued. If you want to issue units of the same item from more than one bin, double-click on the Issue Quantity field to display the Bin tab. Specify in this tab the number of units to be issued from each bin.

 

11.Review the read-only fields below the grid. You may view the Detailed Analysis screens of the Warehouse, In-process quantity, In-transit quantity, On-order quantity, On-hand quantity, and Booked quantity fields by clicking their respective underlined field labels.

 

12.When you are ready to save the transaction, click the Save button from the Transaction toolbar. The Internal Stock Issuance save window will pop-up showing the issuance transaction number. You may select to click the Preview or Print buttons to preview or print the stock issuance slip, or click the New button to create a new transaction.
