After setting up specification types using the Specification Maintenance function and creating inventory items assigned with various specification types, you must select which of the specification codes combination applicable to an inventory item is used or available in your inventory. The Item Specification Maintenance function allows you to select these items with the detailed specification codes.

You must first set up in the Settings Page of the Inventory Maintenance function the applicable specification features for the inventory item record. The information displayed in this function is dependent on the specification types assigned to the inventory item record.

To set up item specifications, perform the following procedure:

1.Access the Specification Maintenance function from the Item Spec group under the Maintenance menu of the Inventory Control module.

2.Enter in the Search field the inventory item number you want to assign detailed item specification codes. Once a valid inventory item number is entered in the Lookup field, the corresponding specification types assigned to the inventory item and all the item specification combinations based on the specification types set up in its maintenance record are displayed in the succeeding screen.

3.To select the desired item specifications for this inventory item record, mark the corresponding checkbox of the desired item specification under the Used column in the Specifications grid.

4.To amend the item specification description, highlight the desired item specification; then, enter in the Description field the name or description of the specification codes. The default specification description comes from the specification record. This description will appear on sales orders, pick lists, sales invoices, packing slips and purchase orders.

5.To amend the item specification short description, highlight the desired item specification; then, enter in the Short Description field the short description of the item specification.

6.To properly view the item specifications, you may choose any of the following options:

oShow all Specification

Click this option to view in this window all possible combinations of the specification types you have selected for this inventory item. This option is selected by default and all the specification codes available for the inventory item will be displayed on the screen.

oShow Selected Only

Click this option to view the specifications with marked Use column checkbox you have assigned for this inventory item in this function screen. This option is useful when viewing existing inventory specifications. If you have not assigned specifications to a particular inventory item, when you click this option, the columns will be blank.

7.When you are ready, click the Save button to save the item specifications selected in this function screen; otherwise, click Cancel.
