The Information page allows you to define general information about the GL Account ID such as the account group, cash flow categories, ratio group, typical entry and the settings for transferring data from a particular integrated subsidiary module.

 

 

To set up the general information and default settings for a GL Account ID enter, choose or amend values in the following fields or options:

 

oAccount Since Date

Enter in this field the date when this account was created. The default value in this field is the system date. You can change the default date by directly entering the appropriate date in this field. This field is no longer accessible once you have saved the GL Account record that you just set up.

 

oStatus

Click the List box button to choose between two status options:  active or inactive.  If an account is Active, the system will allow you to post debit and credit transactions into it.  If an account is set to Inactive, the system will no longer allow you to post any transactions into it.

 

oAccount Type

Define whether this GL Account ID is a account, a fixed allocation account, a variable allocation account either by period balance or by period change. When you select the Fixed Allocation account type, the Fixed Allocation page will be enabled. When you select the Variable Allocation account type either by period balance or period change, the Variable Allocation page will be enabled.

 

oView in summary entries coming from

In this area, mark the corresponding checkboxes to configure AccountMate to show in summary the accounting entries from each integrated subsidiary module in the General Ledger Listing Report.  If you want to show the transaction details affecting each account from these modules, just leave the corresponding checkboxes blank.

 

oAccount Group ID

Review or amend, if necessary, the default account group ID in this field. The default value is the account group ID assigned to the major segment value from which the account ID was created.

 

oAccount Tree

Click this button if you want to view the account tree of the account group selected in the Account Group ID field. The Account Tree View window will display if this button is clicked.

 

oEquity Account for OCI

This field is blank and disabled if the account ID being created is not an Other Comprehensive Income (OCI) account category. If you are creating a GL account ID with an OCI account category, enter in this field the equity account you want to assign to the GL account ID.

 

 

The fields in the Major Segment Details section are read-only and are displayed only for reference. The value in each field comes from the settings of the major account segment value that is selected to set up this GL Account ID. If you want to amend the value in any of the fields in this section, you must do so in the major account segment maintenance record using the Account Segment Values Maintenance function.

Note: You can post or transfer transactions to the General Ledger affecting an inactive account if the transaction is saved before the account is set to inactive in this function. When you subsequently transfer the data to the General Ledger module during period-end closing, however, AccountMate will display a message informing you of the invalid transactions posted to the inactive GL Account ID.
