With AccountMate’s Lot Control module, you can add the power of a complete lot control system to your Inventory Control module.

It gives you the ability to track units of lot-controlled items from purchase or production through inventory stock and sale. With the expiration date monitored for each
lot-controlled item,
you can run inventory reports to identify
which items to pull out of stock as their expiration dates near. When a recall is
required, you can generate reports to locate the items remaining in stock and determine which customers purchased
the items so that they can be notified about the item recall.

Lot Control Module

Effectively Manage Critical Inventory

Users have instant access to the status, effective date and disposition of critical or perishable inventory items. This enables units of a lot controlled item to be tracked, used or sold well before their indicated perishable dates. Customers to whom such items were sold can be promptly identified and notified of any problems with the items they purchased or plans for product upgrades thereby facilitating the recall of such items.

Quick Assignment of Lot Numbers

Users can assign lot numbers to the units of an item stored in a specific warehouse bin, received on a particular purchase order, or built as a customized kit item on a sales order. Lot numbers can be assigned to items purchased as soon as they are received. Lot numbers can be assigned to standard kits as they are built. Also, multiple lot numbers can be assigned at a time to a batch of lot controlled item units.

Assign Serial Numbers to Lot Controlled Items

Lot controlled items can be serialized. The assignment of a serial number to each lot controlled item permits the tracking of a specific cost for each unit.

Track Vendor Lot Numbers

Users can track the vendor’s lot numbers and cross-reference them to the system lot numbers. System lot numbers are the company’s own lot numbers and are especially useful for items manufactured in-house, but can also be assigned to items acquired from vendors. By recording vendor lot numbers, users are better able to cross-reference lot controlled items purchased from vendors with the company-assigned lot numbers. This also makes it easier to track these lot controlled units in case the vendor from whom the items were purchased recalls the units that may have been sold to customers.

Monitor Expiration Dates

Users can view the expiration date of each lot. They can quickly check for on-hand quantities of items belonging to a particular lot that are set to expire on a certain date so they may be taken out of available inventory as they expire. Users can also verify the expiration dates of available lot controlled units when processing customer orders.

View or Print Inventory Lot Recall Report

Users can review the transactions that involve particular system lot numbers or vendor lot numbers using the Inventory Lot Recall Report. This is a very helpful tool especially for those who are in the food or pharmaceutical industries.

Easily Identify Lot Controlled Items

Lot controlled items are clearly flagged on the inventory screen and on the transaction lines of sales orders, invoices and PO received goods screens.

Lot Numbers Can Be Printed on Special Reports

Lot numbers can be printed on Shipment Reports, Packing Slips, Invoices and Inventory Lot Recall Reports, providing the ability to quickly verify when and to whom units from a particular lot were sold. This can be a helpful aid to the company and its customers in case of a product recall, modification or upgrade.

Integration with Inventory Control, Purchase Order, Sales Order, Accounts Receivable, Kitting, and Manufacturing Modules
  • Integration with Inventory Control enhances the Inventory Adjustment, Warehouse and Bin Transfers and Physical Count functions thereby allowing users to select lot numbers when processing lot controlled item transactions.

  • Integration with Sales Order, Accounts Receivable and/or Purchase Order modules enhances the basic functionalities of each of these modules to support the selection of lot numbers when posting orders and/or invoices.

  • When integrated with the Kitting module, lot numbers can be assigned to groups of kit item units, in addition to assigning a specific kit number to each unit.

  • When integrated with the Manufacturing module, lot numbers serve as a powerful tool to address bio-terrorism concerns as they can be assigned to component parts to track the use of these items during production.
