Budget Statement

The Budget Statement displays an Income Statement / Revenue & Expense Statement or Balance Sheet / Fund Statement report that shows a comparison between the actual and budgeted amounts of a budget ID for a single period or range of periods based on a predefined budget.

 

This report has the following uses:

 

To aid in the assessment of actual operations against budget for the whole company, or a department, division, location, cost center or profit center.

To aid in monitoring and updating the budget.

 

To print the Budget Statement, follow these steps:

 

1.Access the Budget Statement from the Reports Main group under the Reports tab.

 

2.Click the List box button next to the Configuration field; then, select the report configuration that you want to use.

 

3.Click the List box button next to the Sort By field and select one of the following sorting options:

 

Account ID

Specific segment type such as Account #, Division or Department

 

4.Click the List box button next to the Layout field and select the Layout option you want to use:

 

oBalance Sheet - Availability

Select this option if you want to generate a Budgeted Balance Sheet report that displays the available budget after deducting the actual amounts spent as of the report period.

 

oBalance Sheet - Comparison

Select this option if you want to generate a Budgeted Balance Sheet report that shows the variances or prior year balances depending on your selection in the Show Variance or Show Prior Year Balance options.

 

oIncome Statement - Availability

Select this option if you want to generate a Budgeted Statement of Income and Other Comprehensive Income report that displays the available budget after deducting the actual amounts spent as of the report period.

 

oIncome Statement - Comparison

Select this option if you want to generate a Budgeted Statement of Income and Other Comprehensive Income report that shows the variances or prior year balances depending on your selection in the Show Variance or Show Prior Year Balance options.

 

5.In the Report Configuration area, define the desired range of segment values.

Notes:

The available fields in the Report Configuration section will vary when you select different sorting options. This section will show the Account ID range if you chose the Account ID sorting option. If you chose to sort by any specific segment, the Report Configuration section will show all the GL segments set up for the company.

 

If, as a consequence of using the filters, the report will be out-of-balance, the report will display a balancing figure.

 

6.To select the budget information that you want to display in this report, enter your desired budget ID in the Budget ID field.  Click the List box button next to the Budget ID field to display a list of existing budget IDs. Click the Budget ID from the list to select.

 

7.If applicable, select any of the following options:

 

oCombined

Select this option if you want the report to display individual GL Account ID balances assigned to all selected segments.  This option will enabled regardless of your selected sorting option.

 

oCons.  Group

This option will only be enabled if you choose a minor segment or fund segment value for your sorting option.  Select this option if you want the system to generate a single report showing the balances grouped into similar Account Groups regardless of the segment that they relate to.

 

oCons.  Segment

This option will only be enabled if you choose a major segment value such as Account # as your sorting option.  Select this option if you want the report to display a total balance for each account number or major segment.

 

oIndividual

This option will only be enabled if you choose a minor or fund segment value for your sorting option.  Select this option if you want the report to display a Balance Sheet / Fund Statement or Income Statement / Revenue & Expense Statement for each fund or minor segment you defined.

 

oActual vs Budgeted

Select this option if you want the report to display the actual balances before the budget figures.

 

oBudgeted vs Actual

Select this option if you want the report to display the budget figures before the actual balances.

 

oShow Variance

Select this option if you want the report to show the difference between budget figures and actual balances for the specified sorting option and period.

 

oShow Prior Year Balance

Select this option if you want the report to display the prior year balance instead of the variance for the specified sorting option and period.

 

8.If applicable, mark any or all of the following checkboxes:

 

oShow Amount Over Budget

Select this option if you want the report to display how much is spent that exceeds the budget.

 

oShow Account ID

Mark this checkbox if you want the report to display the GL Account IDs.

 

oInclude Zero Balance Accounts

Mark this checkbox if you want the report to display accounts with zero balances.

 

oInclude Account #s with No Activity

Mark this checkbox if you want the report to display GL Account IDs with zero activity.  The selection will be based upon the minor segment chosen as your sorting option.

 

oGenerate Report for All Segments

Mark this checkbox if you want to generate separate reports for each minor/fund segment (depending upon the sorting option chosen) consolidated into a single statement.

 

6.  Click the Preview or Print button to preview or print the report.          

 

The Budget Statement function also provides you with flexibility to perform the following:  

 

Set up and save report configuration.

Include notes in the printed report.

Export the report to various supported file formats.

Print the report by batch.

Drill down on certain fields in the report if you choose the Detail option in the Type area and marked the Include Account ID checkbox:

oAccount ID

This value is available if you selected the Include Account ID option.  The system displays the Account Profile when you double-click the GL Account ID in the report.
