The Past Due AP Aging Report function allows you to print or preview a summary of the past due invoices as of a certain date. The report displays the invoices' age bracket and categorizes the past-due invoices based upon the number of days that have elapsed since their stated due date. Aging ranges or age brackets are defined in the AP Module Setup function's Printing Page.
The Past Due AP Aging Report allows you to generate either a current or history aging report. If you select the Current Aging option, you can generate a report of past-due invoices as of the current AccountMate system date. If you select the History Aging option, the report will include past-due invoices as of the date you will specify in the Report Date field.
This report has the following uses:
•To determine the invoices that should be prioritized for payments
•To review and evaluate outstanding obligations that become overdue on a specific date.
To generate the Past Due AP Aging Report, follow these steps:
1.Access the Past Due AP Aging Report function from the Payable Management group in the Reports main menu.
2.Click the List box button next to the Configuration field; then, select the report configuration that you want to use.
3.Select the report sorting option by clicking on the List box button next to the Sort By field.
4.In the Layout field, click the List box button to select the report layout you want to use in generating the report.
To show multi-currencies in the report, select the option with 'multi-currency' in the layout name. Note that this layout option is only available if the multi-currency feature is activated. |
5.In the Report Configuration area, you may mark the Individual checkbox if you want to generate the report for a single record and enter the appropriate value in the adjacent field; otherwise, select in the Filters area the preferred criteria in generating the report.
6.Select whether you want to perform:
oCurrent Aging
Select this option if you want to age the AP invoices as of the current AccountMate Enterprise system date. |
oHistory Aging
Select this option if you want to age the AP invoices as of a given date (e.i. the date entered in the Report Date field). |
7.If you choose to perform History Aging, enter in the Report Date field a date that will serve as the cut-off date for the report. You may click the Calendar button to display a calendar where you can select an appropriate date.
8.Select the option for which you want the report to be based on:
oReport Date Based on Invoice Date
Choose this option if you want the system to age all AP invoices that have invoice dates that fall on or before the date entered in the Report Date field. If you chose to perform current aging, the system date is the report date |
oReport Date Based on Entry Date
Select this option if you want the system to age invoices that have entry dates that fall on or before the date entered in the Report Date field. If you chose to perform current aging, the system date is the report date. |
oReport Date Based on Post Date
Choose this option if you want the system to age all invoices that have post dates that fall on or before the date entered in the Report Date field. If you chose to perform current aging, the system date is the report date. |
9.Select the option for which you want to age the invoices by:
oAge by Due Date
Select this option if you want the system to age the AP invoices based on their due dates. |
oAge by Invoice Date
Select this option if you want the system to age the AP invoices based on their invoice dates. |
10.Mark any or all of the following checkboxes:
oInclude Open Debit Transactions
Mark this checkbox to show in the report open debit transactions. |
oShow Total On-Hold Checks
Mark this checkbox if you want the report to display the total check amounts that are put on "hold" status. |
11.Click the Preview or Print button to preview or print the report. Click the Configure tab to return to the report configuration page.
The Past Due AP Aging Report function also provides you with flexibility to perform the following:
•Set up user-defined sort option
•Set up user-defined report layout
•Include notes in the printed report
•Export the report to various supported file formats
•Send the report as attachment to an email
•Drill-down on certain fields in the report:
oVendor #
AccountMate displays the Vendor Profile when you click the Vendor # in the report. |
